These Terms & Conditions apply to all clients, bookings, purchases, memberships, class packs, private sessions and attendance at Bohdi Studio.

By creating an account, purchasing a service, booking a class or attending the studio, you agree to these Terms & Conditions.

1. Bookings

All classes and sessions must be booked in advance through the Bohdi Studio website or Mindbody.

Class spaces are subject to availability and are allocated on a first-come, first-served basis.

Clients are responsible for booking the correct class and ensuring they meet any class requirements stated at the time of booking.

Bohdi Studio reserves the right to refuse participation where a client has booked an unsuitable class, has not completed required forms, or where participation may be unsafe in a group class setting.

2. Arrival and Late Entry

Clients must arrive before the scheduled class start time.

Clients arriving more than 5 minutes after the class start time will not be permitted to join the class.

Late arrival will be treated as a missed class and the class credit will be lost.

This policy applies to all clients without exception.

3. Cancellation Policy

Group classes must be cancelled at least 12 hours before the scheduled class start time.

Cancellations made at least 12 hours before class will return the class credit to the client’s account.

Cancellations made within 12 hours of the class start time are late cancellations and the class credit will be lost.

Failure to attend a booked class is a no-show and the class credit will be lost.

4. Waitlist Policy

Clients may join the waitlist for fully booked classes.

Where a space becomes available and the client is added to the class, the standard cancellation policy applies.

Clients are responsible for monitoring notifications from Mindbody.

Failure to attend a waitlisted class after being added will be treated as a no-show.

An additional fee will be incurred for no-showing a waitlisted class.

5. Class Packs and Credits

Class packs and credits are valid only for the period stated at the time of purchase.

Current expiry periods are:

Single class: 7 days

5 class pack: 60 days

10 class pack: 100 days

Intro offer: 2 months from purchase

Class packs and credits are non-transferable and may only be used by the client who purchased them.

Unused credits expire automatically at the end of the validity period.

Expired credits are not refundable.

Extensions are granted only at Bohdi Studio’s discretion.

6. Intro Offers

Intro offers are available to new clients only.

Intro offers may only be purchased once per person.

Intro offers are non-transferable.

Intro offers must be used before the expiry date stated at purchase.

Unused or expired intro offer credits are not refundable.

7. Memberships

All memberships have an initial 3-month commitment period.

After the initial 3-month commitment period, memberships continue on a rolling monthly basis.

Memberships are charged automatically using the payment method saved to the client’s account.

Memberships are for the named client only and cannot be transferred, shared or used by another person.

Membership credits must be used within the relevant billing month.

Unused membership credits do not roll over unless expressly stated in the membership description.

Membership benefits, including guest passes, discounts or additional credits, have no cash value and cannot be exchanged, refunded or transferred.

8. Membership Changes, Freezes and Cancellations

Membership changes, freezes and cancellations must be requested by email to:

Memberships cannot be cancelled during the initial 3-month commitment period unless required by law.

After the initial 3-month commitment period, clients must give at least 30 days’ notice for any membership cancellation or change.

Requests made verbally, by text, social media, or directly to an instructor are not valid.

Memberships may continue for one further billing cycle depending on when notice is received.

Membership freezes or amendments are granted only at Bohdi Studio’s discretion.

Bohdi Studio may request supporting evidence for freeze or amendment requests relating to illness, injury, pregnancy or other exceptional circumstances.

9. Failed Payments

Clients are responsible for ensuring their payment details are valid and up to date.

If a payment fails, Bohdi Studio may attempt to take payment again using the saved payment method.

If payment remains outstanding, Bohdi Studio may suspend the client’s membership, bookings and account access until the balance is paid.

Bohdi Studio reserves the right to cancel a membership where payment remains outstanding.

10. Refunds

Refunds are only provided where required by law.

Used classes, late cancellations, no-shows, expired credits, partially used packages and membership payments are not refundable unless required by law.

Where Bohdi Studio cancels a class, the client’s class credit will be returned to their account.

11. Studio Rules

Clients must comply with all studio rules and instructor directions.

Clients must:

  • Wear suitable clothing for movement.

  • Wear socks for reformer classes. Grip socks are preferred. Bare feet are not permitted on reformers for hygiene purposes.

  • Use equipment only as instructed.

  • Wipe down equipment after use where required.

  • Keep phones on silent during class.

  • Treat instructors, staff and other clients respectfully.

  • Inform the instructor before class of any injury, pregnancy, postnatal status, pain, medical condition or health concern.

  • Stop exercising immediately and inform the instructor if they feel pain, dizziness, faintness, chest pain, shortness of breath or feel unwell.

  • Not attend class under the influence of alcohol or drugs.

  • Not attend class while suffering from a contagious illness.

Bohdi Studio may refuse entry or ask a client to leave where the client breaches studio rules or behaves in a way that is unsafe, disruptive or disrespectful.

12. Health, Injury and Medical Conditions

Clients are responsible for informing Bohdi Studio of any medical condition, injury, pain, pregnancy, postnatal recovery, recent surgery or other matter that may affect participation in group classes.

Clients must complete any required waiver, health declaration or intake form before attending class.

Where a client has a medical condition, injury, limitation or concern that may affect their ability to safely participate in group classes, the client may be required to seek advice from a doctor, physiotherapist, midwife or other healthcare professional before attending.

Where a client has limitations that may affect their ability to follow a general group class safely, they may be required to book private sessions instead of group classes for safety and targeted support.

Bohdi Studio instructors are not medical professionals and do not provide medical diagnosis, treatment or medical advice.

Bohdi Studio reserves the right to refuse participation in group classes where it reasonably considers that participation may be unsuitable or unsafe.

13. Pregnancy and Postnatal Policy

Clients must inform Bohdi Studio if they are pregnant, postnatal or recently given birth.

Pregnant clients may attend classes regularly provided there are no contraindications and participation has been approved by their medical professional.

After 20 weeks of pregnancy, pregnant clients may only attend pregnancy-listed classes.

Postnatal clients must inform the instructor before class and disclose any relevant recovery information, including C-section recovery, pelvic floor symptoms, pelvic pain, diastasis recti or medical restrictions.

Bohdi Studio reserves the right to refuse participation where it reasonably considers that participation may be unsuitable or unsafe in a group class setting.

14. Private Sessions

Private sessions include one-to-one, two-to-one and small group sessions.

Private sessions must be booked in advance and are subject to availability.

Private sessions must be cancelled or rescheduled at least 24 hours before the scheduled start time.

Cancellations made within 24 hours of the session start time will be charged in full.

Failure to attend a booked private session is a no-show and will be charged in full.

15. Personal Belongings

Personal belongings are brought into the studio at the client’s own risk.

Lockers or storage areas may be provided, but Bohdi Studio accepts no responsibility for loss, theft or damage to personal belongings unless caused by Bohdi Studio’s negligence.

Clients must remove all belongings when leaving the studio.

16. Studio Facilities and Equipment

Clients must use studio facilities and equipment safely and as instructed.

Clients must not use reformers, springs, straps, props or other equipment without instructor guidance.

Clients are responsible for reporting any equipment fault, damage or concern to the instructor immediately.

Bohdi Studio reserves the right to remove, repair, replace or restrict access to facilities or equipment at any time.

17. Class Changes and Studio Cancellations

Bohdi Studio may change the instructor, class type, timetable, room, equipment or class format where necessary.

If Bohdi Studio cancels a class, the client’s class credit will be returned to their account.

Bohdi Studio is not responsible for travel, parking, childcare or other costs incurred by clients due to a class change or cancellation.

18. Pricing and Service Changes

Bohdi Studio may update prices, class packs, memberships, services and studio policies from time to time.

Price changes will not affect class packs or memberships already purchased.

Where there is a price change affecting future pack or membership purchases, clients on existing packs or memberships will be notified at least 30 days in advance.

19. Age Policy

Clients under 18 require consent from a parent or legal guardian.

Clients under 15 must have a parent or legal guardian contact Bohdi Studio directly before booking or attending.

Bohdi Studio may refuse attendance where age requirements or consent requirements are not met.

20. Conduct and Right to Refuse Service

Bohdi Studio is a respectful and inclusive space.

Abusive, discriminatory, threatening, aggressive, inappropriate, unsafe or disruptive behaviour will not be tolerated.

Bohdi Studio reserves the right to refuse entry, remove a client from class, suspend bookings, cancel a membership or close an account where a client breaches these Terms or behaves in a way that affects the safety, wellbeing or experience of others.

21. Liability

Pilates and physical exercise involve inherent risks.

Clients participate at their own risk and are responsible for working within their own ability, following instructor guidance and disclosing relevant health information.

Nothing in these Terms excludes or limits Bohdi Studio’s liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any liability that cannot legally be excluded or limited.

22. Data and Privacy

Bohdi Studio collects and uses client information to manage bookings, payments, memberships, health and safety, communications and legal obligations.

Health information is treated as sensitive information and used only where needed to support safe participation.

Further information is set out in Bohdi Studio’s Privacy Policy.

23. Changes to These Terms

Bohdi Studio may update these Terms & Conditions from time to time.

The latest version will be available through the Bohdi Studio website, booking system or app.

Continued use of Bohdi Studio services after changes are published constitutes acceptance of the updated Terms.

24. Governing Law

These Terms are governed by the laws of England and Wales.
